Job Description:

This Accounting Clerk is responsible for carrying out many of the organization's accounting and administrative functions, which include accounts payable, accounts receivable, payroll processing, contract administration, managerial accounting and job cost accounting. • Update and maintain payroll data, such as hours worked, overtime rates, direct deposit, misc. deductions, tax information, and job numbers for each employee.
• Enter data and correct time records in payroll system
• Balance payroll daily and at the end of each pay period
• Review payroll information and correct any errors to ensure payroll accuracy.
• Ensure that each employee is paid the correct amount on time
• Respond to employee questions and complaints
• Troubleshoot employees' payroll issues
• Reconcile customer accounts and ensure correct coding
• Prepare new invoices, correct Work in Process (WIP) reports, verify for proper approvals, and mail invoices to clients
• Resolve billing discrepancies
• Work with customers to resolve any collection issues
• Assist in development and implementation of procedures to improve accounts receivable collection procedures
• Update and maintain customer balances on a continual basis
• Answer all customer inquiries regarding receivable accounts
• Assist in annual audit process
• Help to develop, improve, and manage an effective cost analysis administration system
• Assist Accounting Associate Manager to plan, collect, and analyze data to determine costs of business functions
• Participate in preparation of annual budgets
• Assist in month-end closing activities, such as journal entries and reconciliations
• Code and enter all invoices associated with company projects
• Receive all invoices and review for correct vendor number, general ledger code, dollar amount, and purchase order
• Research statements and approve invoices
• Research and resolve accounts payable issues with customers or vendors
• Research and resolve vendor questions
• Administer petty cash
• Perform account reconciliations for many of the company's general ledger accounts
• Administer the company's purchasing card system including auditing expense reports
• Coordinate with Customer Support Representatives and Account Executives in drafting customer agreements
• Ensure that all new orders are entered in the ERP system
• Process and monitor all sales commissions
• Monitor and administer all forms of service contracts to ensure timely renewal To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.   • High School diploma or GED required-additional training or coursework desirable
  • 3+ years Accounting or Clerical experience Knowledge, Skills and Abilities:
    • Strong computer skills with Microsoft Excel and Word knowledge
    • Proven communication and customer service skills
    • Self-starter who works well under pressure
    • Attentive to detail
